Job Description

We are seeking a Part-Time Office Manager to join our busy team. As Office Manager, you will provide high quality support to our 75+ headcount, working in conjunction with our Chief Financial Officer to deliver an effective and efficient support service to the business. This is an excellent opportunity for an experienced office administrator to grow their skills, work independently, and deliver and support the wider business agenda across Ireland.

We will consider applicants seeking 7am-2pm, 8am-3pm, or 1pm-6pm.

Responsibilities

Office Administration

  • Oversee the daily operations of a busy office, ensuring a clean and safe workplace, including organising office repairs.
  • Ensure that the office space is functional, well-stocked and able to support the business across all its office needs.
  • Manage suppliers, order office and canteen supplies and ensure timely payment to vendors.
  • Support administrative functions by managing files and updating client records.
  • Liaise with IT team regarding IT support in the office, internet, phones, computer hardware etc.
  • Support the Finance function.
  • Support the Recruitment function.
  • Responsible for office asset management.
  • Assist with ad hoc and special projects as required.

Welcome Experience

  • Ensuring a warm and professional welcome for employees, clients, suppliers, candidates and other visitors.
  • Managing incoming calls.
  • Assisting with new hires onboarding including inductions and new starter packs.
  • Being the AED/safety point of contact.
  • Contribute to community and learning opportunities.
  • Provide support to staff, including travel, expenses, event and meeting. planning and execution.

Required Skills and Qualifications

  • 3 years relevant previous experience working in an office role.
  • High attention to detail with strong problem-solving skills.
  • Excellent prioritisation and organisational skills.
  • Exceptional time management skills with ability to multitask and prioritise work.
  • Innovative, proactive and always on the lookout for ways to improve the work environment.
  • Excellent written and verbal communication skills with the ability to influence at all levels.
  • Interested and excited about our company goals and culture.
  • Can-do attitude; you’re happy to get stuck in, roll up your sleeves and wear many hats as part of our growing office start-up environment.
  • Ability to navigate a fast paced and sometimes ambiguous environment with ease.
  • Proficient in Microsoft Office, Excel and other tools.
  • This is an In-Office role, there is no hybrid option.
  • Fluency in English – written and spoken essential.
  • Eligibility to live and work in Ireland without restriction.
