Job Description

Provides programs to improve operational efficiency, consistency, and compliance in support of the organization*s financial and tactical business objectives. Provides business practices and processes. Develops, communicates, and trains the organization on business practices and processes.

Serve as a liaison with other divisions such as Finance, Contracts, HR, Legal, Shared Services, Accounts Receivable, Purchasing, and Risk Management in an effort to ensure accurate and timely transaction processing. Collect, input, verify, correct, and analyze data to measure key performance indicator actual versus business objectives. Provide updates to management regarding budget to actual, informing them of deviations and opportunities. Provide management with economic impact and compliance issues surrounding key business decisions and/or deals. Communicate Oracle Business Practices to the organization and monitor process and approvals for full compliance. Drive implementation of new processes and procedures.

Work involves some problem solving with assistance and guidance in understanding and applying company policies and procedures. Attention to detail critical. Ability to collect, organize, and display data in spreadsheet format. Follow-through skills necessary to get information from internal and third parties and have data errors/omissions corrected. Relationship management skills strongly desired. Strong written and verbal communication skills to interact with management and possible clients desired. 0 - 2 years relevant work experience.

Brief Description:

The core
objective is to manage the process of deals for review from system to analyst
to the highest standard in the shortest time possible. This involves becoming proficient, and
looking for ways to improve on, current Operations processes in running reports,
managing workloads and answering any questions that may be directed in the
course of a deal review in a timely manner.

The candidate
should be able to provide reports to customers when needed and to lead and/or
participate in projects as required.
They should be able to validate information and follow up where
information deficiencies appear. Strong
organizational, communicational and decision making skills are required as well
as an attention to detail.

Main Responsibilities: It
is expected that the candidate should be able to pick up and close out Support
Ticket queries and strive to become an expert in those cases “outside of the
norm” where the analyst needs help with review processes.

As the FRM
process is a major aspect of the Operations Team, the candidate should aim to
become familiar with this process, engage in meetings and projects where
appropriate and provide support a required.

Where the
candidate has experience with Business Partnering they should help improve
links between these partners and the Operations Team where appropriate.

The Global
Operations team is regarded as pioneers in the development of applications and
processes. As such the candidate should
make themselves familiar with the Development team and provide input where
appropriate. They should gain familiarity the application backend and strive to
obtain a working knowledge of how to implement changes to an application.

Where appropriate
the candidate should provide assistance to ensure the smooth imposition of any
mergers and acquisitions into our reporting process.

Marketing and
promotion of the team and the objectives we are trying to implement is of vital
importance. The candidate will be
expected to help improve communication structures and promotion of team ideals
to our customers.

The Operations
Team is a global group providing 24x7 coverage to the Revenue Recognition
team. The candidate should work to
ensure expected deliverables are achieved.
Where there are difficulties with achieving said deliverables the
candidate must recognise this before time and engage with Senior Management and
the team to address any concerns.

Detailed Description of Daily Tasks Managed:

Service
Portal: Allocate emails from support
portal queue in a timely manner. Set up
new users. Set auto-reply as needed at
quarter end.
Maintain routing rules. Update analyst
mapping as needed due to territory changes.
Allocate out “Restricted Products, Journal Entry and Credit Memo Alerts”
that are over scope to analysts.

APEX/GRID: Run booking reports
daily. Load documents into deals –
Software, Hardware and Consulting (inclusive of order packs, HWSR reports and
Order Lines). Allocate out deals based
on draft analyst, bandwidth and language requirements. Link/unlink EZO accruals as needed at quarter
end. Answer questions that come into the
Operations Support Ticket Queue in a timely manner. Load Invoice Report pulled from the Global
Warehouse into GRID daily. Run auditor
reports as required at quarter end.

Development:
Ability to implement changes into our systems, which could involve coding,
designing and implementing systematic processes, business partnering with
organizations such as Contracts, Order Administration and Accounts Receivable
to develop cross organizational process improvements that are scalable and
sustainable.

SW& HW
Bookings: From GSIAP, run CTS reports and adhoc reports daily. Investigate analyst’s issues out of GSIAP vs.
GRID for any deltas.

Services
Bookings: From PAA & OKS, run Services bookings daily.

Acquired Company
Reporting: Ensure Acquired Company reporting is loaded as required.
